1. Information We Collect

We collect the following categories of information directly from Users and Customers in the course of providing the Entuber Platform:

• Account and profile information: name, work email address, and optionally a mobile phone number, provided by the User or entered on their behalf by an administrator, for the purpose of platform access and operational notifications.
• Operational data: records related to transformation program milestones, project deliverables, SAP configuration and change requests, ERP intelligence reports, AI agent deployment logs, and related engagement and compliance activity entered by Users in the course of their work.
• Usage data: login activity and general platform usage information, used to maintain security and improve the service.

2. How We Use Information

We use the information described above solely to operate, maintain, and improve the Entuber Platform for our Customers, including to:

• Provide access to the platform and its features;
• Send operational notifications to Users via email and, where a mobile number has been provided and enabled, SMS text message — including program milestone alerts, deliverable and approval requests, project status updates, and compliance or governance alerts such as SLA deviations or credential and certification expirations;
• Maintain audit trails required for regulatory and governance compliance in regulated industries;
• Maintain the security, integrity, and reliability of the platform.

3. What We Do Not Do

• We do not sell, rent, or share phone numbers or other personal information with third parties for marketing or advertising purposes.
• We do not use phone numbers collected for operational SMS notifications for any marketing campaign, newsletter, or promotional messaging.
• Information collected within the Entuber Platform is used only to provide the service to the Customer that operates the relevant account, and is not shared across unrelated organizations.

4. SMS Notifications

If a User chooses to provide a mobile phone number, and their organization has enabled SMS notifications, the Entuber Platform may send text messages related solely to the operational and compliance functions described above. Message frequency varies based on a User's role and platform activity. Message and data rates may apply from the User's mobile carrier. Users may opt out of SMS notifications at any time by replying STOP to any message, or by removing their phone number from their profile within the platform. Users may reply HELP for assistance.

5. Data Retention

We retain information for as long as necessary to provide the platform to the applicable Customer and to comply with applicable legal, regulatory, and audit requirements. Retention periods for operational and compliance records are configured per Customer in accordance with their regulatory obligations.

6. Data Security

We maintain administrative, technical, and physical safeguards designed to protect information within the Entuber Platform, including role-based access control, encrypted data transmission, and audit logging of user actions.

7. Your Choices

Users may update or remove their contact information, including their phone number, at any time via their profile settings within the Entuber Platform, or by contacting their organization's platform administrator.
